EDI is not dead. It remains the most reliable way to take orders from large customers and retailers who require it. It was never built for the rest: the customers who email a PDF, a spreadsheet, a photo of a handwritten order or a few lines in the email body. AI order entry reads those documents and resolves them against your ERP. What EDI does well

  • Structure. An EDI purchase order arrives with every field in a known place, so nothing has to be read or interpreted.

  • Requirement. Many large customers and retailers will only trade by EDI, and their compliance rules expect acknowledgements, advance ship notices and invoices in return.

Where EDI stops

  • Every partner is a project. Each trading partner needs a map, testing and ongoing maintenance when their specification changes.
  • Cost per partner. Provider fees and onboarding make sense for a customer who orders every day, and rarely for one who orders twice a month.
  • The long tail never arrives. Most manufacturers have a handful of EDI partners and hundreds of customers who will never send EDI. Their orders are still keyed by hand.
  • Clean input in, clean input out. EDI delivers what the customer sent. A wrong part number or an outdated price is still wrong.

One Epicor manufacturer we spoke with runs EDI for its 17 largest customers and a separate order tool for the next ten, which automates about two thirds of its sales orders. The rest are still typed into Order Entry.

What AI order entry adds

AI order entry reads the document a customer actually sends, in any layout, with no template per customer. A good tool then does the part a person does after reading: it resolves the customer and ship-to, maps the customer's part numbers to yours, checks units of measure and prices against Epicor, and looks for an existing order with the same PO number. Whatever it cannot resolve is shown to a person before the order is committed.

Two things separate tools in this category. The first is depth against Epicor: whether customer part numbers, units and prices are resolved against live data or left to the reviewer. Running both on Epicor Kinetic
